Product Test Arrived Damaged: What to Tell the Campaign Organizer

A short, factual damage message — plus the reporting deadlines and the reply that turns a replacement offer into a problem.
Tell the organizer exactly what arrived, what condition it was in, and that you are not able to review the product itself — then stop. You do not need to negotiate, apologize, or promise anything about the review; on most programs, a shipping-damaged item is either written off or pulled from your queue, and neither outcome costs you standing. The details differ by platform, and the difference matters.
Influenster's help center says damaged items are not replaced, while Amazon Vine routes damage reports through Amazon customer service and can cancel the order entirely. Knowing which path you are on tells you what to say and how fast you have to say it.

What "damaged on arrival" actually changes about your obligation
A product test is a campaign where a brand or platform ships you an item free in exchange for an honest review. If the item is crushed, leaking, or missing pieces, you have not tested the product — you have tested a parcel that failed. Those are different things, and the honest report says so.
This is not a courtesy distinction. The FTC's Endorsement Guides require an endorsement to reflect the endorser's honest opinion and bar it from conveying anything that would be deceptive coming from the advertiser. Writing a five-star review of a cream you never opened fails that test.
So does writing a one-star review blaming the formula for a courier's dent. Amazon Vine's own guidance, summarized on the community-maintained Vine damage help page, is that an item lost or damaged in shipping should not be reviewed at all — a shipping fault is not a product fault, and reviewing it as one is unfair to the seller. That is the cleanest statement of the principle, and it holds well beyond Vine.
What to write to the organizer
Keep it short, factual, and free of any hint about what the review would have said. A message that mixes damage reporting with review bargaining invites the wrong reply. Do not offer to review it anyway "to be helpful," and do not ask what they would like you to do.
Both invite an answer that puts you in an awkward position later.
- The campaign or box name and your member ID or order number
- The delivery date and the carrier, if you know it
- What arrived damaged, described plainly: "the pump seal was broken and roughly half the bottle had leaked into the box"
- Photos of the item, the inner packaging, and the outer carton with the label visible
- One sentence on what you want: the item removed from your review queue, or simply a note that you cannot review it
Influenster, Vine, and why the deadlines differ
On Influenster, a platform that ships free product boxes called VoxBoxes to members, the help center states the items are not replaced. Members are told to participate with whatever arrived intact, and if the box is too damaged to use at all, to simply not check it in — with no penalty to eligibility for future campaigns. Influenster separately treats a lost or stolen parcel as a member support and USPS matter, because the platform treats the package as out of its hands once shipped.
Amazon Vine, where selected reviewers called Voices receive free items in exchange for reviews, works the other way. Amazon's Vine help page tells Voices to report a damaged, defective, or mis-described item to Amazon customer service — not to the seller — and customer service can remove the item from the pending-review queue. The clock is the part people miss.
The official Vine FAQ notes that a cancelled order removes the item's Estimated Tax Value from your year-end tax report and clears it from the To-Be-Reviewed queue, but orders cannot be cancelled once a review is posted or more than 30 days after delivery. Report late and you may be left carrying the tax value of something you never got to use.
When the brand contacts you directly
Sometimes the seller emails first, offering a replacement, a gift card, or a "chance to revise" the review. Slow down before answering. Conditioning an incentive on the sentiment of a review is now explicitly barred.
The FTC's Rule on the Use of Consumer Reviews and Testimonials took effect on 21 October 2024 and carries civil penalties up to $51,744 per violation. A replacement offered on the understanding that you will soften or raise your rating falls on the wrong side of that line — for the advertiser, and it puts you in a story you do not want to be in. On Vine specifically, the contact itself is the problem.
Discussion of the program's terms on Amazon Seller Central describes a prohibition on selling partners contacting Voices outside routine customer support, with investigation and possible loss of selling privileges for attempts to reach a reviewer. The safe response is no response: forward it to the platform and let them handle it.
Keep the box until everything is settled
If the parcel was insured, a shipping claim may be available regardless of what the campaign decides. USPS allows either the sender or the recipient to file a damage claim, no later than 60 days after the mailing date, with proof of value and proof of damage — and the recipient must keep the damaged item and all packaging until the claim is resolved. That last requirement quietly outranks your instinct to clean up.
Photograph everything the day it arrives, then put the item, the inner padding, and the outer carton somewhere out of the way for two months. If the organizer later asks for evidence, or the sender files the claim and needs you to confirm the condition, you still have it.
Frequently Asked Questions
Should I post a low review explaining the item arrived broken?
No. Vine's guidance is that shipping damage is not a product fault and the item should not be reviewed at all; report it to the platform instead and let the order be cancelled or the box left unchecked.
Will reporting damage hurt my chances of future campaigns?
Influenster's help center states that not checking in a box too damaged to use carries no penalty to eligibility for future campaigns. Other programs set their own rules, so check the terms you agreed to.
How long do I have to report it?
On Vine, an order cannot be cancelled once a review is posted or more than 30 days after delivery. A USPS insurance claim runs on a separate clock — no later than 60 days after the mailing date.
